AI telephone answering

The calls your office misses become tickets, not lost work.

An AI voice agent picks up when your team can't, takes the details, and puts every call into the system you already run, with the right people alerted. We have built it for a security firm, a brain-injury rehabilitation service and a construction recruitment agency.

How it works

Four steps from ringing phone to named owner.

01

Your phones ring first

Calls go to your office as they do now. The AI picks up the ones nobody can answer, and out-of-hours calls if you want it to.

02

The AI takes the details

It finds out why the person is calling, takes their name and callback number, and sorts the call into the categories you choose.

03

A ticket lands in your system

With the transcript and a short summary attached. Hang-ups can still be logged, so a dropped call doesn't disappear.

04

The right people are told

By email, with urgent calls flagged. For Traknet, out-of-hours faults go straight to the nearest guard on call.

Built and running

Three clients, three different jobs for the phone.

Same idea underneath. What happens after the call is built around how each business actually works.

Security operations

Traknet

Operations platform for a security guarding and patrol company

Faults and incidents reported by phone become urgent tickets. Out of hours, the job is dispatched to a guard automatically.

  • Out of hours, the nearest on-call guard is offered the job by WhatsApp or SMS and an app alert
  • Not accepted in 5 minutes? It moves to the next nearest guard, and management is alerted if nobody is left
  • In office hours, faults go to the named office contact; messages for accounts or sales go to that team
  • Known clients can check an existing job from their registered number
  • A call that ends before anything is logged still becomes a missed-call ticket
Care

Truth Care

Specialist residential brain-injury rehabilitation service

A careful agent for a sensitive setting. It logs every call as a ticket and reads the caller their ticket number.

  • Says it is an automated assistant at the start of every call
  • Sorts referrals, staff calling in, concerns about a resident and general messages
  • Never gives clinical advice or confirms who is a resident; emergencies are told to dial 999
  • Staff work tickets from a board or by replying to the email, with a daily digest
  • Call recording off; caller details redacted 12 months after a ticket closes
Recruitment

PRL Site Solutions

Construction recruitment agency, Wirral

Built into the bespoke operations app we made for PRL, so calls arrive where the team already works.

  • Picks up calls the office can't answer
  • Sorts calls into new applicant, contractor query, client enquiry, urgent or other
  • Urgent calls are flagged in the subject line of the staff email
  • A staff-only calls page with the transcript and a mark-actioned button
  • Matches the caller to an existing contractor record where it can
From the client

In their words.

“ProTec built the AI systems behind Traknet, including the phone line that logs faults and gets out-of-hours jobs to the nearest guard. Just as important has been the support: quick answers when we needed tech help, and real interest in getting things right for how we actually work. Excellent all-round service.”

Kyle, Traknet

“ProTec set up our AI telephone system and handled everything from planning to go-live. It was built carefully around our setting, and the technical support during setup was patient and thorough. We’d happily recommend them.”

Kumi, Truth Care

“ProTec Solutions made the whole process seamless, from creating our bespoke app to setting up our AI phone system. Great service throughout, and we’re really pleased with the results. Highly recommended!”

Keenan, PRL Site Solutions
What it won't do

Straight answers about the limits.

  • It doesn't transfer calls live. It takes the details and your team calls back.
  • It isn't an emergency service, and it doesn't give clinical, legal or financial advice.
  • It doesn't pretend to be a person.
  • It doesn't decide what matters. You set the categories and what counts as urgent.
Under the hood

Proven parts, wired into your systems.

Voice agent

Retell AI handles the call itself. Each call is sent to your system over a signed connection, so nothing else can post fake calls into it.

Alerts

Email through Microsoft 365, plus SMS, WhatsApp and app push where the job needs it, as Traknet's guard dispatch does.

Your data

Transcripts are stored as staff-only notes in your own system. Recording and retention are set with you, client by client.

Questions

What people ask first.

Will callers know they are talking to an AI?

They should, and we set it up that way. Truth Care's agent tells every caller it is an automated assistant before anything else.

Can it put a caller through to a person?

No. None of these systems transfers calls live. The AI takes the details, logs them and alerts the right people, and your team calls back. Your own phones still ring first wherever you want them to.

What happens in an emergency?

The agent is not an emergency service. For a care setting we give it a fixed instruction to tell the caller to hang up and dial 999, and the call is still logged as urgent.

Do we need new software?

No. The calls land in the system you already run, or in one we build for you. Traknet's land in its job and ticket system; PRL's land in their bespoke operations app.

Are calls recorded?

That is your decision, set per client. Truth Care runs with call recording off and transcripts kept for seven days at the voice provider. Transcripts stored in your own system are visible to staff only.

What does it cost?

It depends on the call volume and what the calls need to connect to, so it is quoted directly. Book a call and we'll scope it with you.

Next step

Tell us what your missed calls are costing you.

Fifteen minutes on what calls come in, where they should go, and who needs to know. You'll get a straight answer on whether this fits.
