What this website collects, who handles it, and how to ask us about it.

Who we are

This notice covers this website only. Our care software (CareOps, CareRota and DOBS) is covered by the agreements and notices that come with it.

The enquiry form

The enquiry form collects what you type into it: your name, email address, and optionally your phone number, company, sector, interests, budget and message. It is processed by Formspree, a form-handling service, which delivers it to our inbox. We use it to reply to your enquiry and, if you go ahead, to provide what you asked for.

The website assistant

Messages you type into the ProTec AI assistant are sent through ProTec's proxy to Anthropic's API, which generates the reply. The proxy uses your IP address briefly, in memory, to limit how many messages can be sent; it does not store the conversation. Please do not include personal or confidential details in assistant messages.

What else the site does

  • No analytics, advertising or tracking cookies.
  • Fonts load from Google Fonts, which receives your IP address when the page loads.
  • The interactive tools run in your browser and send nothing to us.

Lawful basis

We handle enquiries on the basis of our legitimate interest in responding to people who contact us, and to take steps at your request before entering into a contract.

How long we keep it

We keep enquiries for as long as we need them to deal with the enquiry and any work that follows, then delete them. Formspree and Anthropic apply their own retention under their terms.

Your rights

You can ask for a copy of the personal data we hold about you, or ask us to correct it, delete it or stop using it. Email hello@protec-solutions.co.uk. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
